PHOTO WEEK TERMS AND CONDITIONS
Thank you for choosing The Fitzroys Photography to document your child’s story within their learning environment. It is a privilege to capture these fleeting and meaningful moments as they naturally unfold.
Photography Style
My approach is gentle, observant and child-led. I photograph children as they explore, create and connect, capturing authentic expressions and quiet in-between moments.
Each gallery is thoughtfully curated to reflect your child’s personality and the atmosphere of their learning environment.
Registrations
All children must be registered prior to Photo Week.
If a registration has not been completed, I am unable to photograph your child.
Registration Fee
A $20 registration fee applies for each participating child.
This fee secures your child’s place in Photo Week and is fully credited towards your order.
The registration fee is refundable only if your child is unable to be photographed and no alternative photography opportunity can be arranged.
Photography Day
Families will be notified of their child’s scheduled photography day prior to Photo Week.
Where photography occurs across multiple days, individual schedules will be shared in advance.
While every effort is made to communicate schedules clearly, it remains the responsibility of families to note and attend their allocated photography day.
Sibling Photography
Sibling photographs are available during Photo Week.
Where a sibling does not attend the centre, families will be contacted to arrange a suitable time for the sibling photograph.
Sibling photographs are not included within standard photo packages and may be purchased separately.
Group Photographs
Group photographs may be offered for kindergarten-aged children, depending on centre participation.
Consent is required for inclusion.
Only first names will be displayed, with last initials included where necessary.
Group photographs, where available, may be purchased through your online gallery.
Special Requests
Photography sessions are child-led and take place within a busy early learning environment.
While every effort is made to create a positive experience, specific poses, expressions, image quantities or outcomes cannot be guaranteed.
Each child participates differently and galleries will reflect their individual personality, comfort level and engagement on the day.
Absent or Unwell Children
For the wellbeing of all children and educators, families are asked not to send unwell children to care solely for Photo Week.
Where possible, alternative arrangements may be offered for children who are absent on their scheduled photography day, however this cannot be guaranteed.
If your child is unable to be photographed and no alternative photography opportunity can be arranged, your registration fee will be refunded.
Clothing and Hair
Please send your child in clothing you feel happy and comfortable seeing captured in their photographs. A spare outfit is always recommended.
Children participate in normal centre activities throughout the day and clothing, hairstyles and presentation may change as a result of play and learning experiences.
Refunds are not offered due to clothing choices, appearance or hairstyles.
Reshoots
A $50 resitting fee applies where a family requests an additional photography session due to dissatisfaction with clothing, appearance or hairstyle.
This fee is not redeemable against products.
Rescheduling
If Photo Week is postponed due to illness, emergency or circumstances beyond reasonable control, an alternative photography date will be arranged.
Families and centres will be notified as soon as practical.
Image Retention
Online galleries remain available for six months from delivery.
Families are responsible for downloading and backing up purchased images during this period.
After three months, galleries and image files may be permanently removed and may not be recoverable.
Marketing and Promotional Use
Images will only be used for marketing and promotional purposes where consent has been provided during registration.
Approved images may be used across website, printed materials such as displays and promotional content produced by The Fitzroys Photography.
Privacy
Personal information collected during registration is used solely for the administration and delivery of photography services, communication regarding Photo Week, gallery delivery and related purchases.
Personal information will not be shared with third parties except where required to provide these services or where required by law.
Communication
By registering, you consent to receiving relevant communication from The Fitzroys Photography via email and SMS regarding your child’s photography session, gallery delivery and related purchases.

Agreement
By completing the registration form, you confirm that you have read, understood and agree to these Terms and Conditions.
Helpful checklist regarding photography day:
• I will send my child to their session in clothing I feel confident having photographed, along with a second outfit I am equally happy with in the event their clothing becomes soiled.
• I understand that refunds or reshoots are not offered due to clothing. A $50 re-sitting fee applies where a reshoot is requested for this reason.
• I acknowledge that The Fitzroys Photography cannot guarantee how my child’s hair will be styled or maintained throughout the day. Hair may be tidied where appropriate, guided by educator discretion. I understand that refunds or reshoots are not offered due to hair. A $50 re-sitting fee applies where a reshoot is requested for this reason.
• I understand that each child engages in their own unique way during their session.
• My gallery may include a variety of expressions - ranging from direct smiles to quiet, candid moments of my child immersed in play and exploration.
• I accept that if my child is not photographed due to absence, an alternative shooting day may be available to attend, otherwise a full refund will be provided.
• Where applicable - children are never required to participate in group photos. If my child chooses not to take part, they cannot be added into the image at a later stage.
• I acknowledge that some centres may choose not to offer group photos. Where a group photo is taken and includes my child, it will be available for purchase within my gallery.
• I understand that The Fitzroys Photography uses carefully designed, automated processes to deliver a consistent and seamless experience.
• I consent to receiving relevant communication via mail in relation to my child’s photography session.
• I understand that it is my responsibility to read and agree to these conditions.
